Organising Material Management in UK Outpatient Clinics Digitally

In larger outpatient clinics, day hospitals and healthcare centres, material management often starts with a routine delivery. A courier arrives with parcels containing medical devices, sterile consumables, diagnostic supplies or other clinical materials. Yet between receiving a parcel and making its contents available to the relevant department, several operational steps need to be completed.

Deliveries must be received, unpacked and inspected, temporarily stored where necessary, transported internally and finally booked into stock. When these activities rely on paper records, spreadsheets, emails and verbal communication, gaps in traceability quickly emerge. This becomes particularly problematic across larger healthcare sites with several buildings, clinical departments or decentralised medical supply stores.

Digital material management should therefore start at goods receipt – not at the stockroom door.

Capture material deliveries as soon as they arrive

What an end-to-end digital material flow looks like

Consider a large outpatient healthcare centre with several clinical departments. In the morning, a delivery containing sterile single-use instruments and other medical consumables arrives. A member of staff scans the parcel and assigns it to the designated clinical supply area.

While unpacking the shipment, they notice that one corner of the outer carton has been badly crushed. A photograph is taken and linked to the delivery record. Image analysis supports the damage documentation, allowing affected items to be inspected separately while undamaged supplies continue through the material flow.

The internal logistics team is currently handling other jobs, so the delivery does not have to remain unattended at reception. Instead, it is temporarily placed in a COSYS smart material locker or secure handover locker. The compartment is digitally assigned and can only be accessed by authorised staff. Both deposit and collection remain traceable.

A member of the logistics team subsequently accepts the assigned transport job and moves the delivery to the central medical supply store. There, the products are scanned, assigned to their storage locations and relevant information such as batch numbers and expiry dates can be recorded.

The original courier parcel has now become a completely documented material movement – from goods receipt to its final storage location.

Connect internal logistics with inventory management

This connection is particularly valuable for larger outpatient centres and multi-building healthcare facilities. Digitising goods receipt alone does not solve the underlying problem if staff still have to ask who is supposed to move supplies from Building A to Store B.
